90% of new records are created electronically. Only 50% of electronic documents are printed and the number of GB processed per year is growing by 40-60%. With all this new data being created it is important to have a data strategy in place.

1. Decide what data should be collected. ‘Everything’ is not an answer!

2. Decide how long to keep the data. File usage should be analysed to determine what is no longer needed and what can be deleted or archived

3. Decide where to store the data. Some data needs to be available on-demand while other data may not be as time critical. A data strategy should consider what needs to be archived and where to archive it and also look at cloud v on premise options.

4. Remember data privacy and security. Who can access your data and what level of detail can they see? How should data be protected and/or encrypted?

6. What data can be displayed? E.g. Personal data, Social Security numbers etc.

7. The level of detail to retain. Make sure that you retain data at the level is required to meet current and anticipated needs.

8. Data governance. Who owns the data element, who is responsible for it
